Dental Clearance Is a Hidden Bottleneck in Hospital Care
Critical procedures are often delayed not because patients are not ready — but because dental clearance is slow, fragmented, and difficult to coordinate.
Patient Ready
Cleared for procedure
Find Available Dentist
Care team calls multiple offices
Referral / Intake
Patient info sent manually
Scheduling
Back-and-forth to find availability
Follow-up
Care team follows up for updates
Clearance Received
Results returned and reviewed
Procedure Can be Scheduled
Patient moves forward
Delays can extend from several days to weeks, blocking time-sensitive procedures
Fragmented Coordination
Multiple calls, referrals, and handoffs across teams with no centralized workflow
No Real-Time Visibility
Care teams have limited insight into status, provider assignment, or timing
Unpredictable Delays
Clearance timelines vary widely, making scheduling and planning difficult
High-Acuity Cases Get Stalled
Transplant and cardiac patients can be delayed despite being clinically ready
As a result, time-sensitive care pathways stall, teams lose visibility, and high-value procedures may be delayed
HowVitalPassWorks

Contracting Structure
Dentists may be eligible to participate as individual independent contractors or through approved dentist-owned professional practices or entities. The available structure depends on the laws of the state where services are performed and the requirements of the participating hospital. VitalPass reviews both the treating dentist and any contracting entity before activation.
What every dentist completes before activation
- Active dentist license in every state where the provider accepts cases.
- Individual professional liability insurance meeting VitalPass and hospital standards.
- National and state screening, credential verification and background requirements.
- VitalPass core training and separate authorization for each hospital site.
- Procedure-specific approval when required.
- W-9, independent contractor agreement and verified payment profile.
- Entity documentation when contracting through a practice or professional entity.
- Ongoing renewal and monitoring of credentials, insurance and hospital authorization.
Dentist Network FAQs
Do I need a professional dental corporation to join?
Not in every case. VitalPass may allow qualified dentists to contract individually or through an approved professional practice or entity. The available option depends on state law, hospital requirements and VitalPass compliance review.
Can I be paid through my dental practice?
Yes, when the entity is legally permitted for dental professional services in the applicable state and completes VitalPass entity, tax, ownership and insurance verification.
Does entity approval replace my individual credentialing?
No. Every treating dentist must be individually licensed, insured, trained and authorized for each hospital and procedure.
What malpractice insurance is required?
You must maintain professional liability insurance that meets the applicable VitalPass and hospital limits and covers the services and locations where you accept cases. Exact requirements are shown during onboarding.
Can I work in more than one state?
Yes, after you complete the separate licensing, insurance, training and hospital authorization requirements for each state and location.
Am I a VitalPass employee?
Dentists participate under an independent contractor arrangement, subject to applicable law and the signed agreement. Participation does not guarantee cases or a minimum schedule.
Are dental assistants or hygienists available through VitalPass?
Yes. Every case that requires chairside or procedural support is staffed through one of two options: you bring an approved assistant or hygienist from your own clinical team (you receive 70% and compensate them directly), or you request a VitalPass-dispatched provider (you receive 60% and the dispatched provider receives 10% of the final approved case revenue). Under both options the support provider must independently pass VitalPass verification, hospital-specific training and site authorization before the case is confirmed.
Designed for Epic / EMR-Connected Hospital Workflows
